2. Principle: No Data Collection
Our programs – the DJ-Tool, the DJ-CRM and the DJ-Konverter – are local desktop applications for macOS and Windows. Neither the apps nor this website:
- collect or store personal data
- use cookies or comparable tracking technologies
- deploy tracking pixels or web beacons
- display advertising or use ad networks
- transmit usage data to third parties
- create user profiles
- use analytics services (e.g. Google Analytics)
All content you edit or enter in an app – audio files and tags in the DJ-Tool, contact, booking, invoice and contract data in the DJ-CRM, and DJ library and playlist files in the DJ-Konverter – remains exclusively on the user's local device.
Exceptions apply only when you actively contact us: during the checkout process, the data required for payment and contract processing is transmitted directly to our payment provider Paddle (see section 4); when you use our contact form, we process the data you enter there (see section 11).
3. Website (djcataclysm.com)
This website provides download links and documentation only. No user accounts are created, no forms are evaluated, and no log files containing personal data are stored.
The web server (Strato AG, Germany) may technically capture IP addresses in server log files. These log files are managed by the hosting provider in accordance with its own privacy policy and are not evaluated by DJ Cataclysm.
4. Contract Performance and Payment Processing via Merchant of Record (Paddle)
For the sale of our software products on this website, we use the services of Paddle.com Market Limited (Judd House, 18-29 Mora Street, London EC1V 8BT, United Kingdom; hereinafter "Paddle") as our so-called Merchant of Record.
As soon as you start the checkout process, the data you enter (such as name, e-mail address, address details, and payment information) as well as your IP address and browser information are transmitted directly to Paddle. Paddle processes this data under its own data protection responsibility in order to process the payment, calculate the applicable statutory VAT for the respective country, and issue the invoice.
- Legal basis: The transmission and processing of the data is based on Art. 6(1)(b) GDPR (performance of a contract or implementation of pre-contractual measures).
- Third-country transfer: Paddle is based in the United Kingdom (UK). For the UK, an adequacy decision of the European Commission is in place, guaranteeing an adequate level of data protection.

5. External Services in the DJ-Tool
At the user's request, the DJ-Tool can contact external services to retrieve metadata or cover art. These requests are made exclusively on explicit user interaction (clicking the respective button) and never automatically in the background.
- MusicBrainz – Lookup of title, artist, album, year. Free public service. Privacy policy: musicbrainz.org
- Cover Art Archive – Download of album cover artwork following a MusicBrainz search. Privacy policy: coverartarchive.org
- Discogs – Alternative metadata source (OAuth authentication, token stored locally). Privacy policy: discogs.com
- Spotify Web API – Optional metadata search using the user's own API key. Privacy policy: spotify.com
- AcoustID – Optional fingerprint-based track identification using the user's own API key. Privacy policy: acoustid.org
During these requests, the metadata query (artist, title, etc.) is transmitted to the respective service. What data the external service processes on its end is governed by that service's own privacy policy.
6. The DJ-CRM: Local Data, Backup and Email
The DJ-CRM is a booking and contact manager for DJs. The data you enter – including personal data of third parties (e.g. contact details of clients, promoters and venues, as well as bookings, invoices and contracts) – is stored exclusively locally on your device in a database. DJ Cataclysm never receives this data and has no access to it. For the personal data of third parties held in your own records, you yourself are the data controller under data protection law.
In addition, the DJ-CRM offers the following optional functions, used only upon your explicit action:
- Encrypted cloud backup – If you set it up, an AES-256-encrypted backup is transferred to a cloud storage location you configure (via rclone). You alone determine the destination and credentials; the transfer takes place directly between your device and your cloud provider – never via DJ Cataclysm servers.
- Email dispatch – Invoices, offers and similar documents can be sent by email directly from the app. Sending is handled by your own SMTP/email server that you configure; the data goes directly to the recipient and is not transmitted to DJ Cataclysm.
All credentials used for this (cloud configuration, SMTP access) are stored exclusively locally on your device.
7. The DJ-Konverter: Purely Local Conversion
The DJ-Konverter transfers DJ libraries, playlists, hot cues, loops and beatgrids between different DJ programs. In doing so it only reads and writes local files on your device (the library and playlist files of the respective DJ software). Processing is entirely offline: apart from the optional update check (see below), the DJ-Konverter contacts no external services and transmits no data whatsoever to DJ Cataclysm or third parties. The source data is left untouched (non-destructive); only the target you choose is written to.
8. Update Check
All apps offer an optional "Check for Updates" function that is only activated on demand. It fetches a small JSON file (version.json) from this server to compare version numbers. No personal data is transmitted in the process.
9. Local Data Storage
The apps store the following data exclusively on the user's local device, never on a server:
- DJ-Tool – Discogs OAuth token (
~/.dj_tool_discogs_token.json) - DJ-Tool – Spotify API credentials (
~/.dj_tool_spotify.json), if entered - DJ-Tool – AcoustID API key (
~/.dj_tool_acoustid.json), if entered - DJ-CRM – the entire CRM database including contacts, bookings, invoices and documents, plus any local backups and the SMTP/cloud credentials you configure
- DJ-Konverter – only local application settings (e.g. the chosen language); no credentials are required or stored
These files remain entirely under the user's control and can be deleted manually at any time.
10. User Rights
You have the statutory rights to access, rectification, erasure, restriction of processing, data portability, and objection. DJ Cataclysm itself only processes the data you actively send us via the contact form (see section 11) – please address any such requests to the email address below. For the payment data processed via Paddle, Paddle is the controller (see section 4); exercise any related rights vis-à-vis Paddle. For personal data of third parties that you manage in the DJ-CRM, you yourself are the data controller; corresponding data-subject requests should therefore be addressed to you. 11. Contact Form
If you use our contact form, the data you provide (name, email address, and your message) is sent to us by email and used solely to handle your enquiry. The legal basis is Art. 6(1)(b) GDPR (pre-contractual or contractual communication) or Art. 6(1)(f) GDPR (our legitimate interest in responding to enquiries). The data is not passed on to third parties and is deleted once your enquiry has been fully dealt with, unless statutory retention obligations apply. The form is protected by a technical anti-spam field; no cookies are set and no tracking services are embedded.
12. Changes to This Policy
This privacy policy applies to the DJ Cataclysm apps (DJ-Tool, DJ-CRM and DJ-Konverter) and this website, and will be updated when material changes are made. The date in the page header indicates the version currently in effect.
